Getting Started -- Setting up your Facility

The key to getting set up on LUNA CMP is first learning the structure of the platform and then applying that structure to your operation. For an overview of the platform and what LUNA CMP does, click here.

The guide below serves as a step by step outline of the process for setting up your facility. This is helpful if you want to progress through your onboarding more quickly or have a new admin to the team and want them to get up to speed on what they need to know about LUNA CMP. 

This is by no means inclusive of all you can do in LUNA CMP. As such, please search through and further explore this Help Library to understand additional capabilities and functionality of the platform.

As a note: the benefit of the LUNA CMP platform is that we're crop agnostic and each setup is slightly different, but all fall within the framework below. As you progress through your setup and have questions specific to your crop and region (for example, a cannabis cultivator in Canada), be sure to stay in touch with your Client Success Manager. They will help you through any compliance considerations you need to incorporate for your operation. 

Setting Stages:

Before you start setting up the nuts and bolts of your operation on LUNA CMP, you want to work with your Client Success Manager to define the Stages and Sub-stages of your operation. Each stage discretely tracks a single process from beginning to finish. Sub-stages are nestled within a single stage and represent shorter periods within that stage. Once defined, your Client Success Manager will set these up for you. 

• Examples of Stages include Cultivation, Raw Materials, Post-Harvest, and Standard Operating Procedures (labelled as SOPs).
• Examples of Substage tied to Cultivation would be Germination, Propagation, and Production for standard Horticulture and Clone, Veg, and Flower for Cannabis. 

Creating Zones:

Zones are the specific areas through which production batches will move, where packing takes place, where inventory is stored, etc. When thinking about how to setup your facility's zones, it is recommended to organize by areas in which you need to track that something specific happened or where a production batch will live overnight.

• Common example of what not to add: adding a 'Harvest Zone' might not be the best approach if the product only sits there for a few hours. However, if the person moving the product into the zone is different than the person moving the product out of the zone, having different tasks to show that hand-off can be beneficial.

Additional Template Parameters: 

Once you've defined your zones, you want to set up the additional components that will go into building templates. Instead of trying to think of all needed parameters before setting them up, it is easier to go stage by stage to set up each. 

• Varieties - every template is organized around a single variety. A variety can be a cultivar, SKU, process, operating procedure, or raw material item, to name a few. To setup a new variety, click here.  
• Batch Units - a batch unit is the way to measure the inventory of an in-progress batch. In other words, while you're growing a batch of plants, packing a box, or checking-in materials, how it is measured? Trays or gutters of plants, boxes or cases of finished goods, or a single check-in or operating procedure? To setup a new batch unit, click here.
• Resource Units - where a batch unit is how you measure the inventory of an in-progress batch, a Resource Unit is how to measure the output or yield of a batch. To setup a new resource unit, click here. 
• Task Categories - LUNA CMP will populate your facility with a standard set of Task Categories. These are useful to define on each of the tasks in your template when you want to filter by certain tasks in your task list or when you're pulling a compliance activity log and want to see tasks tagged with only certain categories. To setup your task categories, click here. 
• Custom Fields - a Custom Field lives at the batch level and can be edited at any point during the life of a batch. A custom field can note things like Customer # (if batch is grown for a certain customer) or Purchase Order # (if you want to note the PO for a raw material item). To setup a custom field, click here. 
• Batch ID Patterns - when you start a new batch, the Batch ID field will automatically be populated with the current month and day as well as the first three letters of each word in the variety. You can customize this Batch ID field in the Batch ID Patterns menu following these instructions.  

Setting Up Templates: 

Templates are like the plays in a playbook. They are to map out what happens with a batch in a specific stage under ideal conditions. To begin setting up a template, click here. The process for setting up Raw Materials is slightly different and is outlined here. 

Test It Out: 

Once you have your templates created and saved, we highly encourage you take your setup for a test drive. You can create test batches, backdating them to align with actual events, and ensure they follow your process as you have set them up.

• Once you have gone through thorough testing, you can remove the test data by following the steps outlined here. 

Inviting and Training Users: 

Testing has gone well and it's time to bring team members onto the platform! To add and manage users as well as to further understand which permission to assign to them, click here. Training users is best broken up by role and responsibility so you don't overwhelm an employee with too much information. Focus on the few things that are relevant to their role that they need to be entering into LUNA CMP and break it down into 5-6 easy to remember steps. Two examples below are for Starting a batch and Transplanting from one zone to another: 

Ex. 1: Sowing Line
1. Click Planning tab > Zones > Germination OR Tasks tab
2. Toggle to Task list, type in ‘Start’ to filter for correct tasks, scroll to Current Day
3. Check off Start task for current variety
4. Confirm trays start and the lot IDs on the Inputs
5. Click Save

Ex. 2: Transplant Germ > Prop
1. Click Planning tab > Zones > Germination Chamber OR Tasks tab
2. Toggle to Task list, type in ‘Move’ to filter for correct tasks, scroll to Current Day
3. Check off task for current batches
4. Confirm units moving, propagation subzone, amount destroyed if applicable
5. Click Save

Encouraging Usage and Data Entry: 

This can often be a challenge to get employees to enter data. The best piece of advice we can offer is to 'Inspect what you Expect.' If you want employees to be entering data into LUNA CMP on a daily basis as they complete tasks, and they are fully trained on how to complete those tasks, then spend fifteen minutes at the end of each day reviewing any progress they completed in LUNA CMP. This can be done one of two ways; 1) you can look at the Activity Log under the Compliance tab by following these instructions or 2) you can look at the Completed tasks on the Tasks tab or within Zone tab(s) under Planning.
